PRIVACYPOLICY

How Soccer 3 Academy handles family information. The note below is the plain read. The numbered terms apply when you send a form or enroll a child.

In short

We use what you share to reach you, look after your child, and run the academy. We do not sell it. Photos on the website or social are a separate yes — you can join first. The terms below apply when you send a form or enroll.

Terms

  1. Agreement. This Privacy Policy (the “Policy”) is issued by Soccer 3 Academy (the “Academy”), Naples, FL. It is part of the Terms and Conditions and Photo Consent. You agree to this Policy when you submit a Join, contact, newsletter, parent, or RSVP form, or when you enroll a child. If you do not agree, do not submit a form or enroll. Visiting this page alone is not enrollment.
  2. What we collect. We may collect parent or guardian name and contact details; the child’s name, date of birth, age group, and program preference; emergency contacts and any medical notes, allergies, or physician information you choose to give; messages sent through this site; newsletter addresses; photo and marketing consents; and technical logs needed to run and secure the site (such as IP address, device, and pages viewed). This site does not collect payment card numbers. There is no parent or child login on this website.
  3. Your authority. You represent that you are at least 18; that you are the parent or legal guardian of each child whose information you submit, or that you have legal authority to submit it; that the information is accurate; and that you will tell us when it changes. The Academy relies on that. You will not submit another family’s information without authority.
  4. Not medical care. The Academy is a youth futsal and soccer program. We are not a doctor’s office and we do not provide medical treatment. Notes you share about allergies or injuries are for staff safety on the court only. You remain responsible for the child’s medical care and insurance.
  5. How we use it. We use information to run the academy, place players, contact you (phone, email, text, or WhatsApp), schedule sessions and travel, protect health and safety, enforce our Terms, stop abuse of this site, comply with law, and defend claims. Submitting a form is your instruction to use the information for those purposes.
  6. Calls and texts. A mobile number on a form is your invitation for the Academy to call or text you about your child’s place, schedule, attendance, travel, or safety. Promotional or newsletter texts go only if you said yes to marketing. You can stop promotional texts by replying STOP where the carrier supports it, or by emailing us. We may still call or text about your child’s place or safety until you give another number in writing.
  7. Who we share it with. We do not sell personal information. We may share what is needed with: academy staff, contractors, and volunteers who need it to do their job; companies that host this website or our email, solely to provide that service; tournament hosts, facilities, and leagues that require a roster; lawyers, insurers, and accountants; a successor if the academy’s operations are transferred; anyone the law or a court requires; anyone we believe in good faith must be told to protect a child, staff, the public, or the Academy; and anyone you ask us to tell. We may share information that does not reasonably identify you or a child.
  8. Other apps. WhatsApp, Instagram, Facebook, TikTok, text, and email are other companies’ services. Their rules apply on those channels. The Academy does not control them and is not responsible for their security or their decisions.
  9. Photos. Photos and marketing are governed by the Photo Consent page and any yes you give on a form. You may join before you decide. If you later withdraw marketing consent, we will stop new public uses. We are not required to recall printed material, destroy coaching film already made, or delete posts on sites we do not control.
  10. AI drafting tools. Academy staff may use an AI writing tool from xAI (Grok) to draft messages to families and practice materials. When they do, the parent’s and child’s names and the details of the message being answered (for example a date, an amount owed, or the note you sent) may be sent to xAI to write the draft. Staff review every draft before anything is sent. The medical notes, allergies, and emergency contacts stored in your child’s record are not sent to it. This tool is used only inside the staff app, never on this public website.
  11. Cookies. This site uses only two cookies: one that keeps academy staff signed in to the staff app, and one that remembers the language you picked (English or Spanish). We do not use advertising or tracking cookies or third-party analytics.
  12. How long we keep it. We keep records while a child is in the academy and afterward for as long as we reasonably need them for operations, safety, insurance, taxes, legal duties, or disputes. We may decline a delete request where keeping the record is allowed or required. Leaving the newsletter does not erase enrollment or safety records. Website security records (such as sign-in and form rate limits, stored without your IP address) are deleted after 30 days, and copies of emails we send are deleted after 180 days.
  13. Your requests. Write info@soccer3academy.com or call +1 (305) 780-0582 to ask to see, correct, or delete information. We may verify who you are. We will consider the request in good faith and may limit it where the law allows.
  14. Security. We use safeguards that are commercially reasonable for a youth sports academy of our size. No website or office is perfectly secure. The Academy does not warrant that information cannot be lost, accessed without permission, or changed. If the law requires us to notify you of an incident, we will. That notice is not an admission of fault.
  15. Limit of liability. To the fullest extent Florida law allows, the Academy and its owners, coaches, staff, volunteers, and contractors are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of data, arising from this Policy, this site, or the handling of personal information. Nothing in this Policy limits liability for our gross negligence or willful misconduct, or any liability Florida law does not allow us to limit. For other claims arising from this Policy or a data incident, the Academy’s total liability will not exceed the fees you paid the Academy for that child’s program in the twelve months before the claim.
  16. Your responsibility. You will hold the Academy and its owners, coaches, staff, volunteers, and contractors harmless from claims and reasonable legal costs that arise because you submitted information that was false, outdated, or submitted without authority, or because you broke this Policy or the Terms, or misused this site.
  17. Children under 13. This website is for adults. We do not knowingly collect personal information directly from children under 13 on this site. If we have done so without a parent, contact us and we will delete it unless we are required to keep it.
  18. Transfer; vendors. If academy operations are transferred, this Policy and the records may transfer with them. We may use vendors in or outside Florida to operate the site and the program.
  19. Florida law. This Policy is governed by the laws of the State of Florida and of the United States, without regard to conflict-of-law rules. Disputes are handled as stated in the Terms and Conditions. You consent to jurisdiction in Florida.
  20. Changes. We may change this Policy by posting a new version. The effective date above is the current version. If a court strikes one provision, the rest still apply. Authority, sharing, retention, security, limit of liability, your responsibility, and Florida law survive after a child leaves or you stop using the site.
